The problem

Running a pharmacy shouldn't mean losing sight of it.

Daily decisions are harder when the records that explain them are scattered across people, paper and separate tools.

  1. 01Distance limits visibility. Owners cannot always be at the counter, yet still need a clear view of sales, stock and staff activity.
  2. 02Disconnected records leave gaps. Manual notes and separate systems can make it difficult to reconcile what was received, sold or adjusted.
  3. 03Medicine is not always sold as a whole pack. Moving between boxes, strips or cards, and individual tablets calls for quantities that stay consistent at every unit.
  4. 04Stock risk needs context. Batch quantities and expiry dates matter together when deciding what to review or dispense first.
  5. 05Requests can be missed. When a customer asks for an unavailable medicine, that request can be difficult to follow up later.
  6. 06Returns can leave stock records unclear. When customers return products or pharmacies send stock back to suppliers, manually recorded quantities or reasons can be missed. Records may then differ from stock on hand, making changes harder to trace and reconcile.

The solution

More than a till. A connected way to run the pharmacy.

The intended PharmaFlow model brings the pharmacy's daily records into one operating picture: stock movements, sales, staff activity, supplier information and customer requests can be considered together instead of in isolation.

01 / STOCK

Record what comes in

Keep quantities, pack units, batches and expiry details together.

02 / COUNTER

Record what goes out

Relate sales to inventory and the activity that produced them.

03 / OVERSIGHT

Review the operation

Give owners a clearer place to review activity and exceptions.

04 / REQUESTS

Keep customer needs in view

Bring medicine requests into the pharmacy's follow-up workflow.

05 / RETURNS

Returned-Product Management · planned capability

PharmaFlow is designed to support recording returned products, why they were returned, and any appropriate disposition or stock and transaction adjustment—helping keep inventory records clearer and supporting accountability and reconciliation.

Customer returns

Record the returned product, reason and disposition. A medicine should only return to available stock after authorised staff assess it and applicable procedures permit it.

Supplier returns

Document the stock and quantities sent back to a supplier, with the corresponding inventory adjustment recorded for reconciliation.

The PharmaFlow Roadmap

Built for Today's Pharmacy. Designed for What's Next.

PharmaFlow is evolving to help pharmacies strengthen operational control, make smarter stocking decisions, and connect with customers through a more integrated pharmacy experience.

Sales & Checkout

Record pharmacy sales, calculate transaction totals and update stock quantities when a sale is completed. Keep sales records organised to support daily reconciliation.

Inventory & Batch Tracking

Track medicine quantities by product and batch, including stock received and stock sold. Maintain clearer records of what is available and which batch each quantity belongs to.

Expiry Visibility

Monitor medicine expiry dates and identify batches approaching expiry. Help pharmacy teams prioritise checks and take appropriate action before products expire.

Staff Activity & Owner Visibility

Help pharmacy owners review relevant staff transactions, sales and stock information, including when they are away from the pharmacy. Role-based permissions help control access to sensitive business information.

Offline Operations & Synchronisation

Support essential pharmacy workflows during internet interruptions, with saved changes synchronised when connectivity returns. The experience depends on the operations supported by the current offline implementation.

Returned-Product Management

Record returned products, document return reasons and quantities, and support appropriate stock and transaction adjustments. Returned products must not automatically become available for sale when their condition or suitability has not been established.

Demand Radar — Unmet Medicine Requests

Capture requests for medicines that are not currently in stock and identify recurring customer needs. Use these insights to guide future stocking and purchasing decisions.

How It Works

A practical path from setup to daily work.

These steps describe the intended operating flow. Confirm current availability and access controls with the PharmaFlow team.

  1. 01

    Set up your pharmacy

Define the pharmacy and branch context, then confirm how staff identities and permissions are established.

  2. 02

    Run the counter as usual

Record counter activity against the relevant stock units, with customer requests handled through a clear review step.

  3. 03

    Pharma Flow keeps watch

Bring inventory, expiry, staff activity and order records into a view that can be checked as work happens.

  4. 04

    You stay informed

Give owners a useful review point for pharmacy activity, with access and data protections verified before they are promised.

For Pharmacies

Owner oversight, with staff activity kept in view.

An owner-focused view should make it easier to review sales, stock changes and staff activity without relying on a single person to recount the day.

  • Review sales and inventory records together
  • See where batch and expiry information belongs in the workflow
  • Attribute activity to a staff account
  • Distinguish owner reporting from staff permissions

For Customers

A clearer path for customer medicine requests.

A customer request should reach the pharmacy with enough context for staff to review availability and respond. This page does not establish whether a live ordering service is currently available.

  • Send a request to a participating pharmacy
  • Let pharmacy staff review the request
  • Confirm medicine availability with the pharmacy
  • Agree on next steps directly with the pharmacy

What is PharmaFlow?
PharmaFlow is a pharmacy management and online ordering platform designed to help community pharmacies manage sales, inventory, purchasing and staff accountability while connecting them with customers looking for medicines.
Who can use PharmaFlow?
PharmaFlow is designed for community pharmacies, pharmacy owners and their staff. Its customer-facing services are being developed to help people discover medicine availability and connect with participating pharmacies.
What can pharmacies manage with PharmaFlow?
Pharmacies can use the platform's management capabilities for sales, stock records, purchasing, medicine batches, expiry monitoring, reporting and staff activity, depending on the features enabled for their account.
Can I monitor my pharmacy when I am away?
PharmaFlow is designed to help owners monitor pharmacy operations and review sales, stock and staff activity without needing to be physically present. Access to sensitive information is controlled by user roles and permissions.
Can staff use PharmaFlow without seeing my buying prices and profit margins?
Yes. PharmaFlow is designed with role-based permissions that separate staff operational tasks from sensitive financial information. Staff can perform permitted activities while access to costs and margins is restricted to authorized users.
How does PharmaFlow help reduce stock discrepancies and expired medicines?
Stock tracking, batch records, expiry monitoring and low-stock alerts help pharmacies identify potential problems earlier. These tools support better oversight but do not eliminate all stock errors or guarantee that expired medicines will never be sold.
Can I use PharmaFlow when the internet is unreliable?
Offline operation is an important part of PharmaFlow's development. Offline sales and data synchronization are being validated, so availability depends on the functionality enabled in the current version. Ask us about the capabilities available during your pilot.
Can customers find medicines and order online through PharmaFlow?
PharmaFlow is developing customer-facing medicine discovery and ordering services to connect customers with participating pharmacies. Availability depends on the current rollout, and customers should confirm reported stock with the pharmacy before travelling or completing an order.
Does PharmaFlow verify medicines or provide medical advice?
PharmaFlow is developing medicine traceability and recall-support capabilities. These depend on access to reliable verification information and relevant integrations. PharmaFlow does not replace a qualified pharmacist, official regulatory checks or professional medical advice.
How much does PharmaFlow cost?
Contact us for current pilot availability and pricing. Any applicable subscription fees and included features will be explained before a pharmacy commits to a paid plan.
How can my pharmacy get started?
Contact the PharmaFlow team to arrange a demonstration and discuss onboarding. Pilot participation and access to specific features depend on availability and readiness.
Can suppliers and other healthcare businesses partner with PharmaFlow?
